Please read these terms carefully before making any bookings

1. Booking Terms & Conditions

Important: All bookings are subject to availability and confirmation by ExploreNation Holidays.
1.1 Booking Process
  • Bookings can be made online, via phone, or in person at our office
  • A booking is confirmed only after receiving a booking confirmation email
  • All bookings require a non-refundable deposit or full payment as specified
  • Prices are subject to change without notice until booking is confirmed
1.2 Customer Responsibilities

Customers must:

  • Provide accurate personal information and travel details
  • Review all booking details before confirmation
  • Make payments as per the specified schedule
  • Inform us of any special requirements at the time of booking
1.3 Group Bookings

For group bookings (10+ passengers):

  • Special terms and cancellation policies apply
  • Group leader is responsible for all communications
  • Special rates are available for groups of 15 or more

2. Payment Policy

Booking Deposit 25% of total package cost 30% of total package cost
Second Payment 30 days before departure 60 days before departure
Final Payment 15 days before departure 30 days before departure
Late Payment Fee 2% per week 3% per week
2.1 Accepted Payment Methods
  • Credit/Debit Cards (Visa, MasterCard, American Express)
  • Net Banking
  • UPI (Google Pay, PhonePe, Paytm)
  • Bank Transfers/NEFT/RTGS
  • Cheques (subject to clearance)
2.2 Currency & Taxes
  • All prices are in Indian Rupees (INR) unless specified
  • Prices include GST as applicable
  • International tour prices may be quoted in foreign currency
  • Exchange rates are fixed at the time of booking confirmation

3. Cancellation & Refund Policy

Important Notice Cancellation charges vary based on tour type and cancellation timing. Please read carefully.
3.1 Domestic Tour Cancellation Charges

3.2 International Tour Cancellation Charges

60+ days before departure 30% of package cost 70% refund
30-59 days before departure 60% of package cost 40% refund
15-29 days before departure 80% of package cost 20% refund
Less than 15 days 100% of package cost No refund
3.3 Special Circumstances
  • Medical emergencies require proper documentation
  • Government travel advisories may affect cancellation terms
  • Force majeure events are handled on a case-by-case basis
  • Refunds are processed within 15-30 working days

4. Travel Documents & Requirements

Customer Responsibility It is the customer's responsibility to ensure all travel documents are valid and complete.
4.1 Required Documents
  • Valid passport with minimum 6 months validity (international tours)
  • Valid visa for destination countries
  • Government issued photo ID (Aadhar, PAN, Driver's License)
  • Confirmed flight tickets
  • Travel insurance documents
  • Vaccination certificates if required
4.2 Visa Assistance
  • We provide visa guidance and documentation support
  • Visa processing fees are not included in package price
  • Visa approval is at the discretion of the respective embassy
  • Visa rejection does not entitle to full refund

5. Liability & Responsibilities

5.1 Our Liability

ExploreNation Holidays acts as an agent for:

  • Airlines
  • Hotels and resorts
  • Transport providers
  • Tour operators and guides

We are not responsible for:

  • Loss or damage to personal belongings
  • Flight delays or cancellations
  • Changes in weather conditions
  • Political unrest or natural disasters
5.2 Customer Liability
  • Follow all safety guidelines during tours
  • Respect local customs and laws
  • Maintain travel insurance coverage
  • Report any issues immediately to our representatives

6. Health & Safety Guidelines

6.1 Health Requirements
  • Declare any medical conditions at time of booking
  • Carry necessary medications
  • Follow COVID-19 protocols as applicable
  • Purchase adequate travel insurance
6.2 Safety Protocols
  • Always follow guide instructions
  • Wear appropriate safety gear for adventure activities
  • Stay with the group during tours
  • Emergency contact numbers will be provided

7. Travel Insurance

Mandatory for International Tours Travel insurance is mandatory for all international tours and highly recommended for domestic tours.
7.1 Insurance Coverage
  • Medical emergencies and hospitalization
  • Trip cancellation and interruption
  • Baggage loss or delay
  • Personal accident coverage
  • Emergency evacuation
7.2 Insurance Purchase
  • Can be purchased through us or independently
  • Must be purchased before departure
  • Provide insurance details to our team
  • Understand policy terms and exclusions

8. Privacy & Data Protection

8.1 Data Collection

We collect and process:

  • Personal identification information
  • Contact details
  • Payment information
  • Travel preferences and history
8.2 Data Usage

Your data is used for:

  • Processing bookings and payments
  • Providing travel services
  • Sending updates and offers (with consent)
  • Improving our services

9. Dispute Resolution

9.1 Complaint Procedure
  1. Report issue immediately to tour manager
  2. Submit written complaint within 7 days of tour completion
  3. We will investigate and respond within 15 days
  4. If unresolved, escalation to senior management
9.2 Legal Jurisdiction
  • These terms are governed by Indian law
  • All disputes subject to Delhi jurisdiction
  • Arbitration is the preferred method of resolution

10. Changes to Terms & Conditions

10.1 Modifications
  • We reserve the right to modify these terms
  • Changes will be posted on our website
  • Continued use constitutes acceptance
  • Major changes will be communicated to customers
